10 Business Travel Tips for Chicago Professionals

1. Book Your Airport Transfer First, Not Last

Most travelers book their transfer the night before. Big mistake. O'Hare and Midway get slammed during peak business hours (6-9am, 4-7pm). Book your black car when you book your flight. You'll lock in availability and avoid surge pricing.

Pro tip: If you're flying on Monday morning or Friday afternoon, book at least 48 hours in advance.

2. Use Flight Tracking, Not "I'll Call When I Land"

5. TSA PreCheck is Non-Negotiable

If you fly more than twice a year for business, get TSA PreCheck ($78 for 5 years). The standard security line at O'Hare during peak hours can be 45+ minutes. PreCheck is usually under 10 minutes.

6. Hotel Check-In Hack: Call Ahead

Most downtown Chicago hotels (Hyatt, Marriott, Hilton) allow early check-in if you call ahead. If your flight lands at 8am and you have a noon meeting, call the hotel at 7am and ask if your room is ready. Many times, it is.

7. Expense Your Airport Transfer Properly

Black car services provide itemized invoices with all the details your finance team needs: pickup/drop-off addresses, date, time, and driver name. Rideshare receipts often lack this level of detail.

Bonus: Many companies prefer black car receipts because they're easier to audit and categorize as "Ground Transportation" vs. personal expenses.

8. Downtown Meeting? Allow 45-60 Minutes from O'Hare

Google Maps says 30 minutes. Don't believe it. I-90 and I-290 are parking lots during rush hour. Here's the real math:

• Off-peak (10am-3pm): 30-35 minutes
• Morning rush (7-9am): 50-70 minutes
• Afternoon rush (4-6pm): 55-75 minutes

Professional chauffeurs know alternate routes (Mannheim → Lake Shore Drive, for example). Trust their navigation.

9. Pack Your Laptop Charger in Your Personal Item

O'Hare's United Club and American Admirals Club are great for pre-flight work, but outlets are limited. Bring your charger in your personal item (not checked bag) so you can top off before boarding.

10. Return Transfers: Schedule Pickup 3 Hours Before Domestic, 4 Hours Before International

TSA recommends 2 hours for domestic, 3 hours for international. Add 1 hour for Chicago traffic. You don't want to miss your flight because you underestimated I-90 at 5pm on a Thursday.

Exception: If you have TSA PreCheck and are traveling carry-on only, you can shave 30-45 minutes off this buffer.
