10 Business Travel Tips for Chicago Professionals

ยท 7 min read

Whether you're a road warrior or an occasional business traveler, Chicago's corporate travel scene has its own quirks. Here's what 15+ years of serving Chicago's top executives has taught us.

1. Book Your Airport Transfer First, Not Last

Most travelers book their transfer the night before. Big mistake. O'Hare and Midway get slammed during peak business hours (6-9am, 4-7pm). Book your black car when you book your flight. You'll lock in availability and avoid surge pricing.

Pro tip: If you're flying on Monday morning or Friday afternoon, book at least 48 hours in advance.

2. Use Flight Tracking, Not "I'll Call When I Land"

Flight delays are common at O'Hare (the 2nd busiest airport in the world). Our chauffeurs track your flight automatically and adjust pickup times in real-time. You never need to call us โ€” we're already one step ahead.

What this means: You clear customs, grab your bag, and your driver is waiting at baggage claim with a name sign. Zero stress.

3. Download Your Boarding Pass Before You Leave the Hotel

O'Hare Terminal 3 (United) and Terminal 1 (American) have spotty cell service in certain areas. Download your mobile boarding pass while you're still in the hotel lobby or in the car. Don't wait until you're at the airport.

4. Know Your O'Hare Terminal Like the Back of Your Hand

  • Terminal 1: American Airlines (Concourses B, C)
  • Terminal 2: Delta, Air Canada (Concourses E, F)
  • Terminal 3: United (Concourses G, H, K, L, M)
  • Terminal 5: International flights

Terminals 1, 2, and 3 are connected airside. Terminal 5 requires a shuttle. Budget extra time if you're connecting through T5.

5. TSA PreCheck is Non-Negotiable

If you fly more than twice a year for business, get TSA PreCheck ($78 for 5 years). The standard security line at O'Hare during peak hours can be 45+ minutes. PreCheck is usually under 10 minutes.

Better yet: Get Global Entry ($100 for 5 years). It includes TSA PreCheck + fast-tracks you through customs when you return from international trips.

6. Hotel Check-In Hack: Call Ahead

Most downtown Chicago hotels (Hyatt, Marriott, Hilton) allow early check-in if you call ahead. If your flight lands at 8am and you have a noon meeting, call the hotel at 7am and ask if your room is ready. Many times, it is.

7. Expense Your Airport Transfer Properly

Black car services provide itemized invoices with all the details your finance team needs: pickup/drop-off addresses, date, time, and driver name. Rideshare receipts often lack this level of detail.

Bonus: Many companies prefer black car receipts because they're easier to audit and categorize as "Ground Transportation" vs. personal expenses.

8. Downtown Meeting? Allow 45-60 Minutes from O'Hare

Google Maps says 30 minutes. Don't believe it. I-90 and I-290 are parking lots during rush hour. Here's the real math:

  • Off-peak (10am-3pm): 30-35 minutes
  • Morning rush (7-9am): 50-70 minutes
  • Afternoon rush (4-6pm): 55-75 minutes

Professional chauffeurs know alternate routes (Mannheim โ†’ Lake Shore Drive, for example). Trust their navigation.

9. Pack Your Laptop Charger in Your Personal Item

O'Hare's United Club and American Admirals Club are great for pre-flight work, but outlets are limited. Bring your charger in your personal item (not checked bag) so you can top off before boarding.

10. Return Transfers: Schedule Pickup 3 Hours Before Domestic, 4 Hours Before International

TSA recommends 2 hours for domestic, 3 hours for international. Add 1 hour for Chicago traffic. You don't want to miss your flight because you underestimated I-90 at 5pm on a Thursday.

Exception: If you have TSA PreCheck and are traveling carry-on only, you can shave 30-45 minutes off this buffer.

The Bottom Line

Chicago business travel is predictable once you know the patterns. Book early, use flight tracking, budget extra time for traffic, and treat your airport transfer like the critical business appointment it is.

Your time is worth more than the $10-20 you'll save by gambling on rideshare.
